This is where something as simple as a one-page document can make a surprisingly big difference.

Before an event, I can give a vendor the information that is actually relevant to them.

For photo and video, that might mean photos of immediate family members, relationships they need to understand, or a note that divorced parents should not be positioned together.

For the venue, it could mean knowing where an important family member is sitting because their table needs to receive service first.

For the bar team, it might mean knowing that Dad doesn't drink alcohol and prefers a particular mocktail, or knowing the couple's drinks of choice so they can take care of them without being asked.

For a DJ, it could be knowing which family members they should accept requests from.

For transportation, it might simply be knowing who is immediate family and who is authorized to give instructions.

The information changes depending on who I'm giving the document to.

The purpose doesn't.

I want the people serving my clients to arrive prepared.

Because hospitality starts before the guest asks for something.

If you're a wedding planner who talks about providing a high level of hospitality, getting to know the people surrounding your couple matters.

For South Asian weddings in particular, the family is often deeply involved in the celebration. Parents may be hosting alongside the couple, siblings may have important responsibilities, and extended family can play significant roles throughout several days of events.

Understanding those relationships helps you prepare everyone else to serve the family better.

And when your vendor team knows who people are, they can interact with them differently.

They can recognize them.

They can anticipate what they need.

They can make your clients feel as though the entire vendor team knows them, even when some of those people may only be working with them for one day.

Open the Canva template, drag and drop your client's photos, update the names and relationships, then add the notes that are relevant to the people who will receive it.

STEP #2

Decide Who Needs What

Your photographer doesn't necessarily need the same information as your bartender, and your DJ doesn't need every detail you're sharing with your coordination team.

Choose the information that helps each person do their job better and keep the document focused.

STEP #3

Share It Before They Need It

Send the appropriate document before the tasting, event, or wedding week so your vendors have an opportunity to familiarize themselves with the people they're about to serve.
